NF providers may receive one of the following PAR error messages when a missing Form 3618/3619 admission is needed. When any of these
messages is received, the NF should verify that the admission 3618/3619 has been processed and submit the required form if necessary.
Note: If NF providers have forms in their PAR workflows that are invalid or no longer needed, the provider should inactivate these
forms.
Comprehensive information on handling NF PAR messages, including those cited below, is available in two locations on the TMHP website:
1. Provider Workflow Rejection Messages were addressed in the May 2009 LTC NF/Hospice Provider Workshop Participant Guide, located at the following link [go to Page 74, or search for Provider Workflow Rejection Messages or the error number being researched]:
-
GN-9103: The request cannot be processed because the client's Applied Income is not available to SAS. Contact the client's Eligibility Worker to update the client's Applied Income. Once the Applied Income has been updated, this request can be resubmitted to SAS.
-
NF-0013: The admission cannot be processed because the client is already admitted into a facility. If a discharge prior to this admission is rejected, the rejected discharge must be processed first. This admission can then be resubmitted to SAS. If this is the initial admission into your facility, please contact the prior provider and request that they submit the missing discharge.

NF-0023: The admission cannot be processed because the client is already admitted into a facility. If a discharge prior to this admission is rejected, the rejected discharge must be processed first. This admission can then be resubmitted to SAS. If this is the initial admission into your facility, please contact the prior provider and request that they submit the missing discharge.
-
NF-0032: The request cannot be processed because the client does not have a corresponding Nursing Facility admission (missing 3619). Please verify that the admission 3619 has been processed.
2. New NF PAR messages added after publication of the workshop materials were posted May 28, 2009, in the LTC News notice Nursing Facility Providers – LTC Online Portal Enhancements. The May 28 posting includes more detailed information for resolving the following admission/discharge-related errors:
-
NF-0004: The request cannot be processed because the client does not have a corresponding Nursing Facility admission (missing 3618/3619). Please verify that the admission 3618/3619 has been processed.
-
NF-0017: This admission cannot be processed because a later admission is already on file. This admission occurs in the past and must be one of a pair, which will create a separate Service Authorization. If the discharge following this admission is missing or rejected, both forms must be submitted to SAS on the same day.
