Clarification: ALF and ICF Providers Required to Report All Vaccines

Providers must report COVID-19 vaccination data to HHSC within 24 hours of the vaccinations. This is required by current emergency rules. HHSC expects providers to report all known data, no matter where the vaccine was administered or who administered it.

For example, the facility must report if:

  • The facility hosted a vaccine clinic on site for residents or staff.
  • The facility transported residents or staff to an offsite location such as a pharmacy, doctor’s office, or vaccine hub for vaccination.
  • Individual residents or staff were transported, by family or private transportation, to an offsite location for vaccination. The facility was aware of the vaccination.

Expanded visitation rules base visitation on residents’ vaccination status. March 24, 2021, was the rule release date. Facilities must be aware of residents’ vaccination status.

A facility that is aware of unreported resident or staff vaccinations must enter those into the survey by Tuesday, April 20, 2021. Failure to report known vaccinations may result in a citation from HHSC. The information in this alert supersedes previous guidance.
